Roles

This year we introduced a way to voice your preferred volunteer role during signup. On this page is a brief list of responsibilities, and then you can click the role name to display more details, such as tasks, physical load, duration of shift.

Room Staff

Room lead

  • Act as team leader (for emcee, timekeeper, door guards and runners) and connector to the Volunteers team organisers
  • Contribute to ensuring that the event runs smoothly in all session rooms.
  • Collaborate closely with the room emcee

Runner

  • Be super speedy in resolving last-minute issues
  • Assist the Room Lead with anything that might be needed in the room
  • Run microphones during Q&As

Time keeper

  • Ensure that talks start and end on time
  • Help speakers stay on track timewise
  • Show speakers the ‘remaining time’ cards during their session

Door guard

  • Welcome people into the room before a session starts
  • Ensure that people quietly enter or exit a room when talks are already in progress
  • Hold open the door when appropriate
  • Help run microphones to the back of the room during Q&As
  • View/listen to sessions while guarding the door

Workshop room assistant

  • Create a safe and friendly environment for the Workshop lead during his/her session
  • Check that Attendees have a ticket (required) for the workshop
  • Ensure that everyone is orderly and respectful during a session in progress

Green room assistant

  • Ensure that only speakers preparing for a talk are in the Green room
  • Maintain peace and silence in the room
  • Assist with anything a speaker needs, either you take care of it or request that someone else does

Registration

Registration lead

  • Act as the connector between the Registration desk and organising team
  • Coordinate Attendee registration
  • Ensure that all Volunteer positions are taken
  • Fix or troubleshoot any issues that may arise

Registration wrangler

  • Use “Welcome to WordCamp Europe 2019” as your opening line at the entrance
  • Guide Attendees to Registration desks
  • Check tickets
  • Prepare and hand out badges

Swag & WP Store Stations

Swag station lead

  • Ensure that Volunteers are present and know what to do
  • Create a system to hand out WCEU T-shirts and keep track of who received theirs
  • Set up the swag table and keep it in good order

Swag station

  • Give WCEU swag to Attendees and keep track of who received theirs
  • Ensure that the swag table is organised
  • Unbox swag and move to where it is needed

WordPress swag store

  • Assist with selling WordPress swag at the official WordPress swag store
  • Answer questions about the swag available and prices

Media & Communication

Media and communication support

  • Act as a liaison between the Photography/video team and Communication team
  • Select, edit, rename and save images and videos
  • Be fast and accurate. Time constraint is part of this position.

Social media support

  • Write posts and share photos directly on the WCEU social media accounts during sessions
  • Interact with people online who are commenting on posts
  • Support Attendees who ask for help using social media

PR support

  • Share news during the event with PR organisers
  • Prepare and set up interviews
  • Ensure that all Media Supporters and Media Partners get updates during the conference

Speakers & Sponsors Support

Speaker wrangler manager

  • Take charge and be responsible for a team of speaker wranglers
  • Participate in the smooth running of talks
  • Act as a connector between speaker wranglers and the Content team

Speaker wrangler

  • Ensure that speakers arrive to the correct track on time
  • Assist speakers with tech check, setup and anything else they need
  • Guide speakers back to the Green Room after their session

Sponsor wrangler

  • Act as first point of contact on the floor for our Sponsors
  • Help resolve minor issues and reach out to a Sponsor Wrangler Manager for bigger issues
  • Ensure that any issue raised by our Sponsors is addressed in a timely manner

Community Help Desk

Community Help Desk manager

  • Act as lead of the Community Help Desk (formerly Happiness Bar)
  • Ensure that everyone is present for shift
  • Keep your team happy and productive
  • Help team members answer WordPress questions, when needed

Community Help Desk

  • Be a friendly and inviting face that makes people feel comfortable to ask any question they have
  • Ask what you can help with
  • Help people with all kinds of WordPress-related questions
  • Do research or ask another person if you don’t know the answer

Attendees Services

Attendee orientation / badge checker

  • Answer questions when manning the Information Desk and/or stationed in hallways
  • Initiate conversations with (“Hi there, can I help?”) and guide people that appear lost
  • Direct anyone without a badge to Registration
  • Be comfortable with a high level of interacting with people

Volunteers happiness assistant

  • Assist and take care of other WCEU Volunteers
  • Help Volunteers with anything they may need during their shift (e.g., Volunteer runner, green room assistants, etc.).
  • Handle requests by Volunteers in the #volunteer Slack channel

Community Services

Charity wrangler

  • Set up the Charity Drop
  • Create a system to collect WordCamp or sponsor-branded t-shirts
  • Collect and express gratitude for donations
  • Ensure the Charity Drop table is organised and doesn’t turn into a messy pile of stuff
  • Bag the donations

Contributor Day onboarding wrangler

  • Assist contributors with registering a WordPress.org account
  • Assist with setting up a Slack account
  • Answer queries and show them how to use Slack
  • Guide new contributors in finding their way around
  • Be open to questions, welcoming and friendly

WP Cafe wrangler

  • Ensure that discussions start and end on time
  • Assist the Topic Starter when needed
  • Be helpful and friendly
